WCT is looking for qualified candidates to fill two open positions on our staff, Office Manager and Bookkeeper. The job descriptions for both positions are included below. See the information at the bottom of this page for instructions on applying for one of these position.

Office Manager Job Description

PURPOSE: Ensure the smooth and efficient operations of the business.

Reports to: Managing Artistic Director
Supervises: Box Office Supervisor and Office Volunteers
Status: Permanent, Full-time
Time Required: 52 weeks per year, 40 hours per week, with ten paid personal days
Base Schedule: Monday – Friday, 9:00 am – 6:00 pm, one hour lunch break
Available: Immediately
Salary: $12.00 per hour

KEY RESPONSIBLITIES:

  • Manage all day-to-day administrative operations including but not limited to:

    • Maintain customer database.

    • Prepare and monitor key calendars.

    • Supervise paid and volunteer non-technical staff.

    • Monitor efficient operations of the box office

    • Prepare and oversee patron and volunteer communications

  • Identify, implement and manage effective business operations and processes of the organization including but not limited to:

    • Execute accounting processes (reconciling, deposits, bills, invoices, etc.)

    • Monitor effective usage of non-technical budgets

    • Provide financial reports as requested

  • Manage and maintain facility including but not limited to:

    • Coordinate service providers and volunteers for the general upkeep of the building

    • Monitor and maintain upkeep of building systems (electrical, plumbing, security, HVAC, computers, phone)

    • Monitor and maintain interior/exterior aesthetics

    • Schedule and monitor the cleaning and maintenance of facility for productions and special building usage.

  • Production Coordination including but not limited to:

    • Oversee production of printed program


QUALIFICATIONS:

  • Bachelor’s degree with emphasis in business administration and/or theatre preferred.

  • Demonstrated experience in accounting practices

  • Self motivated with problem solving and multi-tasking skills


COMPUTER SKILLS NEEDED:

  • Proficiency in Microsoft Office: Word, Excel, Outlook, Publisher, Graphics programs and QuickBooks.

Bookkeeper Job Description

PURPOSE: To work with the Office Manager, Managing Artistic Director, and other staff, entering data into accounting software, and completing other administrative support duties as needed. Also prepares the finance reports for the finance committee and the board of directors.

Reports to: Managing Artistic Director
Time Required: Five to ten hours per week
Length of Commitment: Yearly
Available: Immediately
Salary: $11.00 per hour

RESPONSIBLITIES:

  • Record all revenue in accounting software

  • Prepare all payments and record all expenses in accounting software

  • Balance and reconcile all financial accounts

  • Review income and expenses in accounting software

  • Prepare reports from accounting software for finance committee and board of directors

  • Assist with other administrative support duties as needed (playbill preparation, thank you letters, production reconciliation, data entry, etc.)


EXPECTED RESULTS:

  • Accurate recording in accounting software

  • Accurate reports for finance committee and board of directors

  • Accurate review, and necessary corrections, of all income and expenses

  • Accurate and efficient completion of other duties as assigned


QUALIFICATIONS:

  • Expert level with accounting software

  • Intermediate level with word processing and other software

  • Friendly

  • Independent with good people skills

  • Confident

  • Enjoy theatre
